PE Kit and School Sports Kit on a Purchase Order

School kit buying has its own constraints, and most sportswear websites ignore every one of them. You cannot pay on a card. You need a PO number on the paperwork. You are buying across seven year groups at once. And you are doing it in the last three weeks of the summer term, or the first three of September.

Here is how the process works here.

The purchase order

There is a PO number field in the basket. Enter it and it travels through to the order as a structured field of its own — not a line in the order notes — so it lands on your paperwork where your finance office expects it.

You can also attach the PO document itself, the PDF out of your finance system. That is usually what turns a query into a despatch.

Three things we can set on a school or trust account:

• Make a PO number compulsory, so nobody in the department can check out without one.
• Pre-fill a standing reference if you work to one rolling PO across the year.
• Enforce your PO prefix, so a number your finance office would reject never reaches an order.

Ordering across year groups

The usual job is one garment in a spread of sizes from the smallest Year 7 to the largest sixth former, with names on some of them.

Rather than working through the product page once per size, paste your list in from a spreadsheet — name, size, one row per pupil or per size band — and it fills the table for you. Sizes are matched loosely, and anything it cannot match is flagged in red rather than quietly swapped. How that works.

What schools usually order

• PE kit — t-shirts, polos, shorts, base layers and socks in house colours. Training wear
• Team strips for fixtures, numbered. Match day shirts
• Tracksuits and rain jackets for squads travelling to fixtures. Outerwear
• Equipment — balls by age group, bibs, cones, first aid. Equipment
• Staff kit — PE department polos and quarter-zips with the school crest, which is a workwear job as often as a sportswear one

The school crest

Put your crest on any garment and you see it on a 3D model at its real printed size in millimetres before you order, with a warning if the file is too low-resolution to print cleanly. Given how often a school crest exists only as a small image on a website, that check is worth having — see getting your crest print-ready.

Reordering next September

Sign in and last year's order is on your account with a reorder button that rebuilds the whole basket — every garment, size, name and crest placement, exactly as ordered. Add this year's PO number and it is done. If anything has been discontinued since, it tells you which before it builds the basket.
